Job Description
Role Summary The Facilities Manager will be responsible for asset management and planning activities for the hard services scope, including mechanical, electrical, plumbing, etc. This role is responsible for complete asset life cycle management, including reactive and planned maintenance and replacement programs across a multi-site retail service portfolio. This includes creation and oversight of brand standards, implementation of industry best practices, budget/forecasting and work order management for maintenance and facility related issues together with third party IFM provider. Responsibilities * Regularly interacts with stakeholders including, Real Estate, Construction, Operations, Finance and Legal business partners to plan, prioritize, coordinate and/or communicate programs, policies and work. * Act as both tenant and landlord, responsible for understanding and fulfilling lease obligations and requirements across the portfolio. * Collaborate with Director and 3rd party IFM provider to develop and continuously improve IFM strategic operating model, aligning with real estate development initiatives and overall business strategy. * Responsible for complex, hard services financial planning and cost optimization developing and managing bottoms up budget for capital and expense maintenance and repair; prioritizing spend based on asset condition, life cycle and business priorities. * Create and manage a complex, planned capital replacement program addressing both end of life unit replacements and life cycle component replacements, ensuring overall portfolio health. * Develop new and evaluates existing programs, services, policies and procedures in alignment with brand standards. * Oversee workflow and quality to assure completion of work in a timely manner, in accordance with brand standards. * Manage work order life cycle, assess, challenge proposals, scope, pricing, need against resolution, completed work, invoice review and approval. * Coordinate and oversee construction and development of hard services in accordance with organization's development plan. * Reviews, evaluates, and recommends modifications as needed for construction growth and development plans ensuring brand standards, maximum efficiencies, optimized total cost of ownership. * Communicate and coordinates with contractors, architects, engineers and suppliers for hard services together with 3rd party IFM team. * Together with internal and external analysts, monitor, analyze and report on financial, vendor and asset/portfolio performance, using Tableau, FM Pilot, Deferred Maintenance Analysis, Site Assessments and other data inputs to develop and modify programs, track trends and make strategic decisions over asset/portfolio life. * Prepare and present PowerPoint presentations to summarize performance and asset/portfolio health to various stakeholders. * Manage 3rd party IFM provider and internal stakeholders as needed for facilities activities, escalations and emergencies. Operations & Compliance * Provide operational support and oversee 3rd party IFM team, continuously monitoring, analyzing and measuring performance against work order, trade performance and financial reports ensuring SLA's and KPI's. * Maintain and support incumbent and direct supplier relationships as well as 3rd party IFM and supplier partner relationships. * Establish and ensure proper scope to meet stakeholder expectations and brand standard, ensure all facilities activities are performed and assets are maintained in accordance with local, state and national requirements. * Develop, implement and oversee continuous improvement initiatives. * Ensure necessary communications across stakeholders, with focus on proactive, timely and consistent communication to the Operations/Field Teams, while gaining an understanding of and addressing challenges and needs. * Together with Director and Finance stakeholders, develop total cost of ownership model to support ROI decision making for repair vs asset end of life replacement. * Reviews and approves proposals, invoices, and miscellaneous expenses. Asset Management: * Create and manage a multi-year asset replacement forecast. * Collaborate with Operations/Field Team stakeholders to implement facilities management practices that extend life/value of the company's assets and serve as a resource to provide solutions to Operations/Field Team leaders. * Perform on site inspections, report on deficiencies and corrective action plan as needed. * Develops maintenance policies and procedures that ensure code compliance and optimal asset functionality. Including HVAC, electrical, plumbing, fire suppression systems, roofs, parking lots, lighting, etc. * Develop and execute RFPs for trade specific services together with third party IFM provider. * Manage multiple capital projects and maintenance programs simultaneously; maintain schedules, costs and scope for projects and programs. Qualifications * Bachelor's degree preferred in Facility Management, Architecture, Engineering, Project Management, Construction Management or similar field, experience and knowledge of Customer and Workplace Experiences, Facilities Management industry best practices and tactical application. * Minimum 5-10 years in facilities management operational leadership role, with responsibility for managing teams and programs in engineering, facilities management and/or construction in a multi-site retail, service environment. * CFM or other Facilities accreditation preferred. * Strong knowledge and understanding of hard services including mechanical, electrical, plumbing, fire suppression, structural, energy management. * Knowledge of and ability to interpret codes and regulations. * Understanding of lease and ownership agreements, real estate terminology, from both a landlord and tenant perspective. * Proficient in CMMS Systems, Microsoft Excel, Word, PowerPoint and Outlook. * Proficient in preparing communications and presentations across all levels of the organization, with consideration to audience, anticipating needs and information level based on roles and responsibilities. * Resourceful and creative problem solver, interested in gaining situational understanding, making impactful decisions and changes while on a path of continuous improvement. * Ability to collaborate, influence, build and maintain trustful relationships with internal and external stakeholders and business partners, incorporating stake holder input in strategic programs and decisions. * Self-assured, motivated, professional with business acumen to navigate an environment with multiple, competing priorities and stakeholders. * Possess integrity in actions, behaviors and decisions, doing the right thing with the right intentions. * Strong motivator, team builder/leader, culture cultivator.
